The Property Maintenance Coordinator’s primary responsibilities are to provide administrative support to the Regional Facility Managers located in the Field. This would include setting up maintenance projects, approving FF&E orders in Market Place, processing contracts/invoices, as well as follow-up and close out of completion task associated with these projects. Also included is supporting the National Maintenance Program via Service Channel; the facility maintenance software used by Motel 6 and Studio 6.   Service Channel support includes but is not limited to setup, reporting, end-user technical support to various operations users, training and coordination of system enhancements.   The Property Maintenance Coordinator will also be responsible for projects as assigned by the National Property Maintenance Supervisor and Sr. Director of Property Maintenance.

GENERAL DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

 

  • Primary Duties & Responsibilities:
      • Operations Special Projects
        • Set up projects in Capital Management System (CMS)
        • Process Capital Project Invoices (CMS & Service Channel)
        • Monitor Service Channel Capital Work Order Request/Proposals
        • Obtain appropriate approvals for all project related documents i.e. Master Work Orders, Location Agreements, Invoices, Change Orders etc.
        • Approve Marketplace FFE Order Requisitions within 48 hours of receipt. Place Orders as needed.
        • Monitor and report financials by assisting Regional Facility Managers with tracking Project Cost Spend
        • Run Project Status Summary Report and discuss project status with Supervisor on a Biweekly basis.
        • Audit and Close out projects on a Quarterly Basis
        • All other duties as needed or required

  • Access and Location Assignments in Service Channel. Including:
      • Assign User Id’s, Passwords and User Permissions
      • Deactivate Terminated Employees and Inactive Sold Locations
      • Update Realignment Structures in the Maintenance System
  • Assign/Un-assign PM Tasks to Motel 6 locations
  • Add Qualified vendors to the Maintenance System
  • Edit PM tasks as directed by the AM and RFM

  • Provide Support for Service Channel Enhancements
  • Work Closely with RFM and add new PM tasks and update current PM task frequencies

  • Additional Reporting
  • Report property performances of Preventative Maintenance tasks from Service Channel
  • Review and analyze Preventative Maintenance Summary Report from Service Channel

  • Request for Service Module
  • Assist National Project Manager and National Property Maintenance Manager RFS Process Flow
  • Reassign Vendors Assignment per RFM’s request
  • Adjust NTE (Not to Exceed ) Amounts per AM and RFM’s Request
  • Monitor Vendor’s Certificate of Insurance Information
    • Interact with accounts Payable as necessaryAll other duties as needed or required

Qualifications

MINIMUM QUALIFICATIONS AND SKILLS:

  • Education –High School Diploma with 2 years of College Experience preferred
  • 2 plus years of web-based system experience
  • Accounts Payable Experience
  • Microsoft Excel Experience
  • Excellent customer service skills
  • Experience with Service Channel or like system a plus
  • Oracle Experience a plus
