The part-time position is responsible for providing administrative support to the Director and Supervisor of Corporate Facilities and the rest of the Corporate Facilities team which involves maintaining the headquarters service request long, ordering office supplies, ordering company letterhead and envelopes, ordering copier supplies, placing service calls for copiers, processing invoices for payment and maintaining vendor files, general administrative duties, assisting with special event arrangements and set up, providing assistance to mail room staff and customers when needed with mail and shipping requests, assisting when necessary with switchboard coverage.

The individual occupying this position must be able to perform essential job functions set forth below with or without reasonable accommodation.

  • Primary Duties & Responsibilities:
    • Answer the Corporate Facilities service request line and maintain the service request log (log in requests – including requests taken by other team members, route requests to appropriate person, follow up and close out requests when completed).
    • Order office supplies as needed from Staples Office Supplies through the G6 Marketplace.
    • Order G6 letterhead and envelopes as needed from Staples Print Solutions through the G6 Marketplace.
    • Order toner cartridges, waste toner containers, and staples for all headquarters multi-function copiers.
    • Code invoices for payment, present to Director for approval, copy invoices and file with appropriate back up, and send to Accounts Payable for payment.
    • Assist mail room staff and service counter customers with mail and shipping needs when necessary.
    • Assist with switchboard coverage for receptionist’s breaks and lunches when necessary.
    • Assist Director and Supervisor with arrangements and set up for special events at headquarters.
    • General administrative duties (filing, copying, composing e-mails and other correspondence, create spreadsheets)
    • Assist with special projects.
    • All other duties as needed or required

  • High School Diploma is required and some college is preferred.
  • Three plus years of experience preferred as an administarative assistant in a fast paced environment.
  • Ability to manage multiple tasks, deadlines and personalities.
  • Ability to function in a fast paced, demanding environment.
  • Good working knowledge of Word, Excel and Outlook.
  • Good oral and written communication skills.
